QuickBooks Online: Going Beyond Best Practices

ADVANTAGES – QUICKBOOKS DESKTOP vs QUICKBOOKS ONLINE

ADVANTAGES: QUICKBOOKS DESKTOP vs QUICKBOOKS ONLINE

by: Woody Adams, Valerie Heckman, Stacy Kildal

QuickBooks Desktop Advantages

If I were to generalize where I think QuickBooks Desktop still holds a major advantage, I’d say managing large amounts of inventory and job costing. QuickBooks Desktop still offers the following feature sets that QuickBooks Online does not. If you can’t live without any of the below, QBD is most likely best for you. Keep in mind that some of the features below are only supported in Premier and Enterprise, not in Pro. All the below QBD function can be solved in QBO with 3rd party apps!

Data Entry/Automation
  • Create invoices in batch
  • Billing rate levels
  • Batch Enter Transactions
  • Batch Enter Timesheets
Job Costing
  • Job Costing Module and Reports (Estimate vs. Actual reporting)
  • Mileage Tracking
  • Payroll job costing/Labor burden costing
  • Change Orders on Estimates
  • Markup column on Estimates
Reporting
  • Multiple Vendor ship to addresses
  • Industry specific reporting
  • Business Planner, Forecasting, Balance Sheet by Class
  • Better report header and footer customization
Inventory
  • Average cost inventory valuation method
  • Sales Orders
  • Availability to promise
  • Build assembles or manufacturing features
  • Unit of Measure
Accounting
  • Backup and restore feature
  • Condense file
  • Period Copy
  • Client Data Review tools (Fix Unapplied Payments and Credits, Clean-up Undeposited Funds, Fix Sales Tax)
  • QuickBooks Statement Writer
  • Cannot post to additional AR/AP accounts

QuickBooks Online Advantages

While I think QuickBooks Desktop still has the advantage in regards to features, QuickBooks Online is still my preferred choice. We can get much of the functionality that QuickBooks Desktop has by adding some third party apps, and the access and availability outweighs the feature set in desktop.

Data Entry/Automation
  • Automatically schedule and send transactions
  • Delayed Charges (non-posting transactions that you can bill for or apply later)
  • Journal Entries can have multiple AR/AP lines
  • Invoices tab—Better payment to invoice and deposited vs. un-deposited visibility
  • Attach documents, images, signatures & more using mobile device
  • Price Rules support date range
  • Re-label your customers if you call them something else
Banking
  • Bank Transactions download automatically each night. Flexibility to “Undo” in Banking Tool
  • Custom Banking Rules can be split by $ or % and you can assign class/ location
  • Rules can be auto-added to register
Job Tracking
  • Project Center
  • Never need to worry about “No Item” Issue on job-related reports
  • Multiple budgets per fiscal year
  • Unlimited Time Tracking Only Users in Essentials and Plus, Unlimited Reports Only Users in Plus.
  • 1099 Contractor self-setup

Reporting
  • Audit Log to review all actions on account and track changes over time
  • Track by Location in addition to Class and choose from multiple location labels
  • Management Reports (presentation ready package of reports from cover page to end notes)
  • Set up multiple budgets per fiscal year
Inventory
  • First in First Out valuation method

Access and Productivity
  • Multiple Users can work in same account at same time
  • No file transfer or versioning
  • Mobile App with expanded functionality to work on the go
  • No Server, Backup, or Hosting Services required
  • Compatible across multiple platforms and devices
  • Access account from anywhere w/ internet connection
QuickBooks Online Accountant

  • Team and client collaboration
  • ProConnect Tax Online integration
  • Free ProAdvisor Program, Free payroll in “Your Books” account

What are you comparing QuickBooks Online to?

Comparing QuickBooks Online Plus Feature Set: Parity with QuickBooks Pro

To what QuickBooks Desktop product are you really comparing QuickBooks Online? This is an important question to ask yourself if you really prefer QuickBooks Desktop for your clients over QuickBooks Online. Having presented QuickBooks Online and QuickBooks Desktop to thousands of firms since early 2009, I can say when it comes to QuickBooks Online distaste from an accountant’s point of view, it is mostly about lack of parity in report customization and click-thru workflow.
There are gaps in report customization in QuickBooks Online, for sure, as well, some workflow cumbersomeness; too many clicks to get to same result in QuickBooks Desktop , tabbed browsing vs open windows, etc. However, your clients, for the most part, do not care about that. Accountants are using QuickBooks Accountant Edition to work with their client QuickBooks Pro files, and QuickBooks Accountant Edition is a Premier level desktop program.
My contention is that many of your clients don’t need build assemblies, job costing, manufacture in process, sales order fulfillment as a critical feature set. Again, what QuickBooks Desktop product is your greener grass than QuickBooks Online? If most of your desktop clients are using Pro, then QuickBooks Online Plus already is on par with their current experience. That is right, apples to apples, outside of YOUR reporting and workflow preferences of QuickBooks Desktop , that your client DOES NOT consider as critical to QuickBooks Online adoption, QuickBooks Online Plus is already, save for 1 feature, on par with the QuickBooks pro feature set. Oh, I am sure there are a few other features I will not address below that is in Pro yet still not in QuickBooks Online, but again, only a few of your clients actually use Loan Manager, LOL…You see what I mean? What actual QuickBooks Desktop product are you clinging to in comparing to QuickBooks Online? If it is Premier or Enterprise Solutions, then we are asking the wrong question. Your client is using Pro. They can adopt QuickBooks Online. Even if you do not want them to, they can, and you can stop with the age old file transfer model that is just the very definition of cumbersome…
Let’s take a look at the key QuickBooks Pro features that your product and service based business clients are going to want in QuickBooks Online, and run thru a few of the key settings to turn them on in QuickBooks Online Plus.
My feature set parity is really about comparing QuickBooks Online Plus vs QuickBooks Pro, and while some features below will also be in Essentials, my apple to apple is Plus v Pro. And the two features I mention above still not in QuickBooks Online that I consider critical and awesome in QuickBooks Pro is Estimate vs Actual reporting and the Markup column on Estimate. Pro just does that getting out of bed in the morning, where you will see below, QuickBooks Online Plus requires a lot of extra steps to get to the same result. But even without a 3rd party app, it can be done. For me, the question of comparing  QuickBooks Online to QuickBooks Desktop is not about my wants and preferences/bias, and more about mobility and collaboration. Does your client want to be mobile more than the ability to use Loan manager? Don’t keep them on QuickBooks Desktop just cause it is your comfort zone. For whom are you really solving?

What are you comparing QuickBooks Online to? For whom are you really solving?

By the way, QuickBooks Pro does not support Build assemblies, customer price levels per item, multiple unit of measure conversion, WIP reporting, sale order workflow either. What QuickBooks Desktop product are you comparing QuickBooks Online to again? Ok, Ok, I will stop…
Gear icon/Account and Settings. From the screenshots below, there are two features that need to be turned on else you will think QuickBooks Online does not support these Pro features. Namely, Price Rules (Price levels and still in beta) and Inventory (FIFO, not average cost). Price Rules in Essentials and Plus are more akin to Premier level Price levels, in that I can create custom prices for items. One better, I can even set a date range for the rule to apply. Pro price levels support not date ranges and are only a Fixed %. Neither product supports price level reporting. QuickBooks Pro inventory items are 3 sided, so it is in QuickBooks Online Plus. Inventory asset, revenue and COGS are hit, and cogs is debited when the item is sold, just like in QuickBooks Desktop . QuickBooks Online Plus supports inventory adjustments, while the “starting” value adjustment is intended as a one-time adjustment, where in Pro you can make ongoing cost or value adjustments. I like that in Pro. Pro supports partial receiving against purchase orders, so does QuickBooks Online Plus. Pro does handle single units of measure, Plus does not. But multiple unit of measure conversion is a Premier/ES thing, as is assemblies and sales order fulfilment. Pro supports none of that. Keep in mind, there are plenty of good 3rd party apps that solve for the more Premier/QBES level features if a client really wants to stay on QuickBooks Online for mobility, but I will not address them in this article. You can find out more on apps.com…
Please see several screenshots below re what I have been discussing re inventory and price rules, shots are all taken from my QuickBooks Online Plus file…
image10
Pro supports reorder points, so does Plus. As well, note the 3-sided items in both for inventory parts, as well as Quantity On Hand, Sku or Manufacturer Part No, and other important item detail fields. Pro does have custom fields which Plus will not, I miss that one too.

Comparing QuickBooks Online to QuickBooks Desktop

image7
image9
image3
I do like how the Price rule is shown at the item record level in QuickBooks Online Plus, whereas Pro I have to go to the actual Price level list to see. Also, see how lame Pro’s Price level function is vs Plus…Again, Plus supports price ruling customized by item, customer type and by date.
image4
image14
And on a sales form, in rate field, just like in Pro, QuickBooks Online will show the default sales rate and the price rule rate:
image1
Pro supports partial PO receiving, and so does Plus…
image17
As well as QOH adjustment, value adjustment (starting value remember, not to be done all the time), and even preferred vendor…Oh I also love the Stock status at top of P&S list in Plus now.
image16
If I prefer QuickBooks Pro at all, it is due to custom fields at the item and name level, as well as the Markup column on Estimates. In Pro, I can see my estimated cost and revenue on the form itself, without even running a report. Not so with Plus, though I can get really close and there are some key settings to turn on to get the Estimating feature set. We not turn our gaze to those, think key features for service based businesses…
image12
image15
Now, look at the QuickBooks Online Plus estimate above. I have already invoiced progressively against it. Progress invoicing is supported in Pro, and also in Beta in Plus right now, soon to be rolled out to all Plus subs. It behaves just like the same feature in Pro save for reporting. At this time in Beta, not a lot of good visibility outside of the actual estimate or invoice of what has been invoiced against etc…But that will be added soon. Pro gets the same pop as below re Progress Invoicing…
image2
QuickBooks Pro supports Estimate to Actual reporting, for me the last real gap in QuickBooks Online that matters. I hope we get it in Plus sometime soon…
image8
That being said, since I can do more than 1 budget per year in QuickBooks Online Plus, I can create a budget for the customer/sub-customer/project, like I can for a customer/job in Pro, and run the Budget vs Actual report filtered for that sub-customer/project to get the same info/result in Plus as in Pro…
image13
A few key settings to get the job costing going in QuickBooks Online Plus to be like QuickBooks Pro, see screenshots below. This allows me to pass thru time, expense and material to an invoice, or just tag jobs for profitability reporting.
image6
As well, I can tag a customer, sub-customer or project to time entry in QuickBooks Online like in Pro, but remember, time is non-posting till you add it to a posting transaction…and no, QuickBooks Online cannot track labor burden by job yet.
image5
The Projects tracking feature can be turned on too, as it gives a Project center for good transaction, report and progress visibility. Pro does not offer the below visually or even in a center…
image11
Net…net…QuickBooks Online Plus is super close to QuickBooks Pro feature set wise. Just a couple more enhancements and they will be literally interchangeable as options for your clients to track their businesses. There are advantages and disadvantages in both platforms, and I think a firm should support both for the most part, as our industry moves closer and closer to cloud only.

Side by side: comparing QuickBooks Online to QuickBooks Desktop

Last, I wanted to leave you with a thorough comp chart of QuickBooks Desktop and QuickBooks Online. Important to note, the stuff in red in the QuickBooks Desktop and Not in QuickBooks Online column is not in QuickBooks Pro ☺.

Add Customer Notes in QuickBooks Online

This recently came up in a few different places, so I thought I’d share a few ways to add customer notes in QuickBooks Online.
This first method is the easiest, and will work for any QuickBooks Online user. It’s a simple way to document customer notes in QuickBooks Online, for ongoing issues, special circumstances, etc.
Click on the Sales tab in the Left Nav bar, then the Customers tab, then click on the name of the customer/client to which you need to add notes. This will bring up the client detail page:

You have two ways to enter the notes. Either just click the notes under the name, or click the Edit button, then the Notes tab in the customer record:

There are different ways to add Customer Notes in QuickBooks Online and QuickBooks Online Accountant

If you’re an accountant user and you’re using QuickBooks Online Accountant, you can use the Work tab to add Customer Notes in QuickBooks Online Accountant.
In QuickBooks Online Accountant, click the Work tab, then the Create Project button, to add a “project” . This doesn’t have to be anything that NEEDS to get done, it could just be some general notes that you want to keep, so keep that in mind when you’re setting a due date. In this case, I called the project “~Client Name~ Notes”

If you DO need to assign some follow up to anything related to the notes, you can add a Task to the the notes “project”, and assign that task to a specific team member. Here I am searching the project, opening it by clicking the name, then clicking the Add a task button and assigning it to another team member.

So there you go! No need for additional apps to keep track of customer/client notes. You can add Customer Notes in QuickBooks Online or use Work in QuickBooks Online Accountant to add them and assign follow up to your team members!

Depression and Anxiety Four Years Later

Here I am, writing about depression and anxiety four years after my first article on the topic was originally published. I’m still having the same discussions and personal struggles with depression and anxiety. While I know there are a bunch of blog posts and articles being written about this recently, I haven’t seen many in the accounting space. Frankly, I don’t think we can talk about it enough.
Depression. Anxiety. Historically most people haven’t been too comfortable talking about either. In fact, when I first wrote this piece, I asked no less than 7 other fellow accounting professionals who I knew at that time were either currently suffering or have in the past with these issues if they’d let me quote them in this article, and only one was comfortable enough to say yes.
This time, I put a call out to see if anyone would be interested in sharing their experiences and the result was even lower. Only 2 people were willing to share, and here’s the story from the first one; she asked to remain anonymous:
Screen Shot 2018 06 14 at 1.43.48 PM
I get it – I totally get it. Many people still perceive depression as something you can just “get over”. Or as a sign of weakness. Or… whatever. In the accounting industry, I think many  are worried that our clients won’t have the same confidence in us if they know we have these sort of struggles. Or worse – they won’t trust us with their accounting needs.  It doesn’t really matter what the reason is, right? Some people still dismiss depression, or don’t want to talk about it. Luckily, that is FINALLY changing. I’m seeing more people sharing their stories on social media, and the supportive response from complete strangers fills my heart. The conversation is shifting and it’s about damn time.
The second person I spoke to was Amanda Hinzmann. Here’s her story:
Screen Shot 2018 06 14 at 1.46.59 PM
I recently read one of the most accurate descriptions of depression: “Depression is a thief. It sneaks into your heart and steals from you your passion: not only your power to conjure enthusiasm but also those exact things that once, that maybe all your life, excited you.”
A couple of years ago, I wrote an article about how it can be hard for me to find the time to get in a bike ride every day. While I was talking to some colleagues, I mentioned that for me, finding that time isn’t about looking good in my favorite pair of jeans – it’s about my mental health. Getting on that bike or going for a hike in the woods as often as I can is a crucial part of the way I treat my anxiety and depression.
Depression and anxiety run in my family.  I’d never experienced either until after our daughter was born in 2002. I didn’t realize it at the time, but I had a serious case of postpartum depression. It wasn’t until our son was born in January of 2009, and I was finally diagnosed with PPD the following summer that I realized I’d also had it with our daughter.
After our son was born, it took me a while to recognize that something was wrong, even though the signs were there all along. One major sign was that I would panic if I couldn’t get to my breast pump every two hours to pump milk for him  – even though he took a bottle of formula or milk – he didn’t care, he just wanted to eat! Another sign was that I wouldn’t carry him in my arms over concrete – I would only carry him in his car seat to take him to the car or in a baby wrap when I had to go in the basement, because I was afraid I would drop him. Let me repeat that: I was afraid I would drop him. I’ve never dropped a baby – mine or anyone else’s – but I was 100% positive that I would drop him each and every time I stepped foot on concrete. The most fucked up, irrational, anxiety-is-in-control-of-my-brain part of this? WE HAD HARDWOOD FLOORS EVERYWHERE ELSE, so dropping him anywhere else in the house would have been just as catastrophic.
Then there was the utter pit of despair I fell into when I thought I might not pass my QuickBooks Desktop Advanced Certification Exam. Because my go-to defense mechanism is humor, I make jokes now about how it made me cry because it was a difficult exam, but the reality was that more than once during the test I broke down sobbing. I mean unable to function, couldn’t catch my breath sobbing. Not just because of the exam, but because my brain was telling me that if I didn’t pass, I would lose all my clients, my business would fail, and my family would end up living in a van down by the river.
The final straw – or straws, I should say, was when my son started daycare; I would have these debilitating anxiety attacks if I wasn’t at least in my car to go pick him by 3pm, if not already there by then. For the record – that time deadline came from nowhere. There was no reason that I was required to get him at that specific time. Our daughter got out of school at 4pm, and I could pick him up either before her, or after. It didn’t really matter. But because of my depression and anxiety my brain told me that it did matter, and it was crippling.
I felt like I was losing my mind. I couldn’t focus. I was forgetting to finish stuff for work and then remembering at 3am – which meant getting up and working in the middle of the night. With a new baby and minimal sleep, I struggled to keep myself and my business together.
I was plagued with self doubt, and had no motivation. I had mysterious physical aches that made it so that I was barely able to get out of bed. When I look back at my year over year P&L,2009 has the lowest numbers in the all the years I’ve had my business. It wasn’t hard just because I had a new baby. I had plenty of friends, family and a fabulous daycare to help with him. It was hard because of the depression and anxiety. I wasn’t working as fast as I normally do, I had to check my work more often, I was struggling to make basic business decisions, and didn’t have the motivation to go out and get new clients. It was completely overwhelming.
depression and anxiety
I finally went to the doctor and explained what had been going on, and we decided, at the time, to try Wellbutrin and therapy. We tried a low dose, and chose Wellbutrin specifically  because it had the least amount of side effects. Within a week, I remember texting my husband and telling him: “I love these meds. This must be how normal people’s brains work.”
After just a few weeks, I noticed the difference. Better concentration, the anxiety attacks were dwindling, I had more motivation and the therapy was giving me the tools to deal with the attacks when they did happen and to recognize and avoid triggers. I was more efficient at work, seeking out new clients, looking at streamlining the processes I had in place, and rewrote the ongoing five year plan I had for Kildal Services LLC.
My doctor had mentioned that because of my family history, I would most likely be on some sort of medication for the rest of my life, but at 36, I wasn’t really ready for that as an option. Don’t get me wrong – if that’s what it takes, then I’m a firm believer in Better Living Through Chemicals. However, in 2012, I approached my doctor and my therapist and asked what we could do to start weaning me off the medication. After much debate and research, we decided on a plan that involved drastically changing how and what I eat, adding some amino acid supplements and rigorous physical activity, and the key, we decided, was that it had to be something I LOVED. There were some false starts – like when I hired a personal trainer and didn’t enjoy or really benefit from it, but I finally found a routine works for me, and that just getting on a bike and going one thing that really helps.

Depression and anxiety fours years later

When I first wrote this, I had been off meds for about a year. Things have changed in the 4 years since then. I had to have a couple major surgeries in 2015 & 2016 that required a bit more recovery time than expected, and after a few years of no medication, my doctor and I decided that I should take something to help me sleep. The combination of all these factors resulted in a perfect storm – the anxiety was pretty much under control, but since I couldn’t exercise as much as I wanted or needed to, I ended up gaining weight. Combining  that with some new found food allergies and my depression sidled right up beside me again, and like the thief that it is, it slowly stole my motivation, enthusiasm, curiosity and joy. You’ll notice that this is the first post here on StacyK.net in months… and that sneaky thief is the reason.
We’re currently working towards finding that sweet spot that many of us with anxiety and depression take so long to find: what prescription (or combination of prescriptions), combined with therapy, exercise and diet will help reduce my symptoms, and offer the least amount of side effects?
Back in 2014 I wrote: “I try to ride 8 -12 miles every day, but that doesn’t always happen. I rarely have anxiety attacks, I’m probably happier and healthier than I’ve ever been in my life. I can, however, tell when I haven’t been on a bike in a few days – less focus, I’m jumpy, I snap at my kids more and slack off from work – I can literally feel myself sliding down that slippery slope. All of that doesn’t mean I won’t someday be taking Wellbutrin, or something else. I’m pretty sure that I will.” The difference with my depression and anxiety four years later is that I think I’m worse at recognizing it. With all of the recent suicides in the news, I’m seeing a lot of “ask for help” advice. The problem is that sometimes it’s hard to even recognize that we need help, let alone have the energy to ask for it.
It’s always a good time to talk about mental health. If you know someone that suffers from it, check in with them, and make sure you have contact information for other people that are close to them. I’m lucky as hell and so grateful to have a best friend that checks in on me whenever he sees me sliding down that slippery slope – and he’s not afraid to reach out to one of my sisters on Facebook or text my husband to give them an alert.
I’m not sharing all of this with you because I think everyone should exercise to get off meds – or that everyone should be ON meds – that’s missing the point. I’m sharing this because I think depression is a common issue that makes people squeamish to talk about and I wish it didn’t. I’m sharing this because I’m hoping that if you see parts of yourself in my story and the stories that others were willing to share with me, that you’ll take the first steps to seek out someone to ask for help.
